There's no one right way to start operating a mini excavator
I've been managing equipment purchases for our company since 2022. Before that, everything I knew about mini excavators came from spec sheets and YouTube videos. But when you're the person responsible for actually getting the machine on-site and making sure someone can run it without tearing up the yard—or worse—the theory gets real, fast.
The big question I get from our site supervisors and even some first-time buyers is: "How do I learn to operate a mini excavator?"
It sounds simple. The answer, though, depends completely on your situation. I've broken it down into three main scenarios based on what I've seen across about 60-80 orders annually, from 3.5-ton mini excavators like the Sunward SWE35B up to 8-ton machines for bigger projects.
Scenario A: You're a first-time buyer with zero operator experience
This is the most common... and the most dangerous. A contractor we work with bought a used 1.5-ton mini excavator because he thought it would be "easy to figure out." He watched two tutorials, jumped in the cab, and within three hours had snapped a hydraulic line backing into a retaining wall. The repair cost him about $2,400 and three days of downtime.
My advice: Don't skip formal training. The conventional wisdom is "you'll learn as you go." In practice, the learning curve is way steeper than people admit. A two-day operator course (costing roughly $500-$800) will teach you proper track control, grading basics, and safety protocols. It's the cheapest insurance you'll ever buy.
Also, start with a smaller machine. I always recommend a 1.5 to 3.5-ton class like the Sunward SWE25 or SWE35B. They're forgiving, easier to transport (a standard trailer can handle them), and parts for these models are widely available through dealer networks—just verify that your local dealer has stock of common wear items like track tensioners and filters before you buy. (I learned this the hard way; more on that in a minute.)
Scenario B: You're a company buyer training a crew
This is where I live. Our company has about 400 employees across three locations. Last year I helped consolidate equipment solutions for our construction division, and we bought three new 5-ton mini excavators for different job sites.
The mistake I see here is assuming that because one operator is experienced, everyone else can just pick it up. That's how you get ugly finishes, needless wear on the machine, and—worst case—safety incidents. What most people don't realize is that with crew operations, the attachments often cause more issues than the machine itself. Changing from a bucket to an auger isn't intuitive, and misaligning the quick-coupler can damage the pin mechanism.
My advice: Standardize on one or two models across your fleet. This lets you create internal training materials and spare parts stock that works everywhere. Invest in a training day with the dealer (most will do a 4-hour session for about $400 per machine). And make sure your operators know basic maintenance—checking hydraulic oil levels and greasing fittings should be a daily habit, not something that only happens when a machine breaks down.
Here's something vendors won't tell you: when you buy multiple units, you can negotiate the training as part of the package. On our order of three Sunward SWE50Bs, I got a full day of on-site training included at no extra charge. Just ask.
Scenario C: You're experienced but switching to a different make
Even veteran operators need a transition period. I had a foreman who'd run Cat mini excavators for 15 years. When we added a Sunward telehandler to the mix, he thought the controls would be the same. They weren't. The pilot control pattern was subtly different, and the joystick sensitivity took him about a week to get used to.
My advice: Don't assume the muscle memory transfers. Log at least 5-8 hours in the new machine with zero production pressure. Most dealers can arrange a demo unit for a weekend rental (usually $200-$350). That's a cheap way to confirm fit before you commit.
Also check the service manual. The Tier 4 engine on a new Sunward has a different regeneration cycle than older models. If your operator doesn't know what the dash warning means, they could ignore it and damage the DPF (diesel particulate filter). Replacing a DPF costs about $2,000. Five minutes of reading the manual prevents it.
How to figure out which scenario you're in
Honestly, if you're asking this question at all, you're probably not in Scenario C. Most experienced operators don't ask "how to operate"—they ask "how does this specific model differ."
If you're reading this and thinking about buying your first machine, you're in Scenario A. Don't overthink it—just get some proper training first.
If you're managing a crew or a fleet, you're in Scenario B. The right answer is standardization plus dedicated training time.
Bottom line: No one has ever told me "I wish I'd spent less time learning how to operate my equipment." The ones who regret their decisions are the ones who skipped the preparation phase. I've made that mistake myself, and it cost me. Now I always tell our guys: the machine is a tool, but the operator is what makes it productive. Invest in the operator first.
