That's why I put together this checklist. The vendor failure in March 2023 changed how I think about pre-delivery checks—we lost 11 days because a serial plate didn't match the invoice. Step 1: Confirm the machine matches the order
Park the machine, engine off, and find the spec plate. Check three things: model designation, serial number, and year of manufacture. The serial number on the chassis plate must match the engine serial and the contract paperwork. I still kick myself for trusting a verbal confirmation on a part number once instead of checking all three plates. It cost us two days and an unhappy dealer call. Don't repeat that.
The Sunward mini excavator lineup changes over time. A 2020 model can look like a 2025 model, but the hydraulic system may be different. What was best practice in 2020—eyeballing the serial and moving on—doesn't hold in 2025. Scan the QR code if there is one, and confirm the online manual matches your machine. The physical plate is still the authority, but the digital record helps.
Step 2: Run the engine, then do a 360° leak check
Warm the machine until the hydraulic oil reaches operating temperature. Park it over clean, dry concrete. Let it idle for five minutes, then shut it off. Walk around and look for drips, trails, or fresh stains. A slow weep on a cylinder gland isn't "normal." It's a future repair.
Also check hoses for abrasion, kinks, and torque marks. In our Q1 2024 audit, loose hose clamps showed up more often than actual leaks. Use your flashlight. If a hose has rubbed through, it will likely fail within the first month.
Step 3: Cycle every hydraulic function
Start the engine and run the warm-up cycle. Then go through each function slowly: boom raise, boom lower, arm in/out, bucket curl/dump, left/right travel. Five minutes, not 30 seconds.
Watch for drift after each function. The question isn't whether the cylinder moves. It's whether it holds when the joystick returns to neutral. A machine with a drifting arm becomes a hazard in tight trench work. And test the float function on the dozer blade—operators use it for leveling, and many new machines arrive with the valve uncalibrated.
Step 4: The "skull crusher" step
Some demo crews call a hydraulic breaker the "skull crusher." The nickname is fine. The test is not optional. If the 3.5-ton machine is configured with a breaker circuit, attach the hammer and run it. Start with 3/4 flow for 10 cycles, then full flow. Watch for hose whip, and make sure the control valve returns to neutral when the hammer isn't triggered.
The surprise here isn't the hammer's impact. It's the idle speed. The engine should idle up automatically when the breaker runs. If it stays at low idle, the hammer is being starved, and the operator will report "low performance" later.
Step 5: The "crane fly" lifting test
I call this one the "crane fly." Not the insect—the inspection pass. A mini excavator isn't a truck crane, but it often does light pick-and-carry work. So I test the lift path as if it were a crane.
Put the blade down, raise the boom, and lift a load about 200 millimeters off the ground. Then swing slowly to the left and back to the right. Watch the load and listen to the slew bearing. Repeat in the reverse direction. If the controls respond jerkily, or the machine settles more than a few millimeters within a minute, note it for the dealer.
And to be clear: no load flies over people. The load can "fly" only across clear, barricaded ground. A crane fly is a five-minute test, not a permission slip.
Step 6: Paperwork and labels
This is the unexciting part. Check the operator's manual, service book, warranty card, and compliance certificates. Make sure the machine's serial number appears in the warranty registration. If the machine is marketed as "low emissions," the label should be backed by a test report. FTC Green Guides require environmental claims to be substantiated. We don't put green claims on a Sunward machine without the data to support it.
If documents will be mailed separately, keep them flat. Per USPS Business Mail 101, a large envelope is standard up to 12 x 15 inches and 0.75 inches thick. That's a practical ceiling for a manual, not a suggestion. I've seen warranty binders folded into triangles. That might work if you're doing origami. It doesn't work in a service file.
Step 7: The origami rule
An operations trainer I respect asks new techs to find "how to make origami crane" and follow the instructions exactly. Not because we need paper birds in the toolbox—because origami forces you to follow a sequence without jumping ahead. Miss one fold and the wings don't align.
Same with starting a Sunward mini excavator. Belt first, then start, then run the warm-up cycle. The interlock exists for a reason. Some operators skip it "because it's faster." The machine may still start, but you've just trained yourself to ignore a safety layer.
